Understanding of Metro Swim Shop's Team Portal Offer

I. Services

1.1) Order Gathering Service - Team Portal
Metro's team portal is an on-line team procurement system for ordering team equipment for the swim teams. Samples and sizing kit can be sent to swim team rep for swimmers to try on. Try on date, time and location will be arranged by team equipment rep and communicated to swimmer and parents .

a).Metro's offer and commitment
Metro Swim Shop will provide Team Portal technology, will configure the order form, will maintain order status and actively engage with your team to address any issues and resolve any problems. Metro will offer telephone support (day time only), email, and other services to parents who might have trouble to the portal site.
b). Team Portal Accessibility
Team Portal availability is 97.5% (average data for the past 10 months). The daily maintenance window (during which system will not be available) is from 12:30am to 3:30am EST backup and other maintenance processes will take place.
Team Portal's back up site will be available during disaster recovery period. Access information during the disaster period will remain the same.


1.2) Order Gathering Process
As an on-line tool, Team Portal can be accessed via Internet using a browser. IE and Netscape are support. AOL browser is known having some errors. In order to guarantee success, the following steps are recommended to team:

a).Communication with parents about the right information
Metro will provide Registration Manual, User Manual, access information (url)
Your team will be responsible to send out communication to all parents about using Metro's team portal for team equipment. This changes the following

i. Fitting and sizing method, and process,
ii. Service details, limitation, order taking starting date, ending date, fitting cut off deadline
iii.Distribution, delivery process

b).Parents should follow Team Portal registration manual to register and login to their account and explore the team portal site
This helps the user to be familiar with the site function

c). Fitting and try on. Suit try-on kits will be availability. Date, time and location will be coordinated by team rap.
Metro will NOT provide a physical fitting
Parents are welcome to go to club to try on the suit to find the right sizes for the swimmer.
In addition, club will keep sweatshirts and other equipment available for try on.

d).Order Cut Off date
In order to ensure the timely delivery of imprinted products, a pre-determined order cut off date must be communicated to all parents. Parents should key in orders prior to that date. Orders keyed after that cut off date will be delivery with next group of team order.

e).Charging and Payment
All team portal transactions are credit card transaction. No check, cash or money order will be taken.
Metro will charge the individual parents using their credit card
Metro will charge the card on the cut off date.
Metro reserves the right to correct any errors during charging and payment process.

f).Changing Order
User will be able to change their order before the cut off day.
User will NOT be able to change their order after the cut off day.

h).Canceling Order
User can go into the portal site to cancel the order before the cut off date.
Order cannot be cancelled once cut off date has past.

i).Return and exchange policy
Customized product is not exchangeable under any circumstances
Exchange of non-customized item can be made within 30 days provided the product is unused and in its original package. Parents will cover $6 - flat shipping charge for exchange
Return will be subject to 10% or $6.00 re-stocking charge

1.3) Distribution of Product
Metro will distribute product to customer's home via UPS ground shipment. Metro will charge a flat fee of $9.00


II. Product


2.1) Product Definition
There are two categories of product on the team portal, one is a general item, and the other is a team item. Most of the team items are imprinted and are listed only on the order form, while the general items are products Metro carries on the web site.
a). Team Items
Items selected in the order form.
Most are imprinted products.
b). General Items
Items on the team portal site that are available to purchase.
Items offered to general public. Products could be discounted from retail prices.
Most are not customizable.

2.2) Product Availability
With a minimum 3 years commitment, Metro will keep extra team products (imprinted items) for the Club and guarantee product availability year round! Following is a list of such items:
a). Team suit (one out of many)
b). And other agreed upon items

2.3) Change of Team Suit Styles that are imprinted
Metro would like to be informed, one season ahead, for any team item changes, especially the imprinted items. Metro will work with the Club to plan for such a change so old inventory items can be sold before they become obsolete.
